Mid-Period Group Tranisitioning

When your site is initially set up and group names are entered, our system automatically places the specified individuals into each group. However, due to shift changes and new rotations, departments may need to transfer individuals between groups. At PACE, our goal is to make your scheduling process as efficient as possible. This guide will demonstrate how to seamlessly transition an individual from Group A to Group B, either during the current period or on a specified date.


Executing the Transition

 

Navigate to the Calendar Grid: Select the individual you wish to move from Group A to Group B. Right-click on the individual's name and choose "Adjust User Group(s)."

 


Specify Transition Details

 

In the adjustment form, you'll find two main options:

 

  1. Date of Group Change: Use this to pick the date on which the individual will move to their new group.
  2. Groups: Use this section to select the new group the individual will be joining.

 

If you're making a change within the current period, you'll see two group options:
   - The first option displays the current group along with the date.
   - The second option provides a list of groups to which the individual can be moved.

 


Putting it all Together

 

For our example, OFC McElroy is transitioning from Day Shift to Night Shift starting 03/15/2024, you can apply this change to all future periods or only the current period. Remember, these changes are flexible and can be modified later to accommodate departmental adjustments.

 

After making the change, you'll notice that the shift cells for OFC McElroy will turn black mid-month. This is a visual cue for supervisors, admins, or users that a mid-period group transition is scheduled. This change will also be visible in the group calendar that the individual is moving to as shown below.

 

 


Customizing Reassignment Cell Appearance

 

You have the freedom to customize the appearance of the reassignment cell color, which defaults to black. To change it:
1. Scroll to the bottom of the page or use the search function to find "Reassignment."
2. Right-click on the legend item and adjust the color or appearance to suit your preferences.

 

This flexibility ensures that the scheduling system not only meets your operational requirements but also aligns with your visual preferences.
