Vacation to Sick Time Rollover Process

Problem

The system does not have an automatic function to roll over vacation time into sick time when employees reach their vacation accrual cap.

That is correct, as of writing this article, there is no automated solution currently built in that will allow excess to move from one bank and into another.  Below is a recommended solution for the time being.

Recommended Solution

Use a manual process to handle vacation time rollover into sick time:

Steps to Implement

  1. Raise the vacation cap above the normal limit in the User Balance Cap page or Time Bank settings page
  2. Monitor accruals to identify when vacation time exceeds the standard cap
  3. Make manual adjustments by:
    1. Deducting excess hours from the vacation bank using the Time Bank Usage Report page
    2. Adding those hours to the sick time bank (up to the sick time cap)

Benefits of This Approach

  • Allows visibility of actual accruals above the cap
  • Provides clear tracking for manual adjustments
  • Ensures minimal friction in the rollover process

 

Note: This process requires manual intervention from administrators when vacation time exceeds the designated cap limit.
