Timesheets act as a communal watering hole for employees, supervisors, and payroll personnel to gather and discuss compensation. For this reason, it's important that timesheets be simple, informative, and pleasant to interact with. They should be flexible enough to get the job done, without overburdening you with choices. Welcome to Pace Scheduler's timesheets.
Accessing Timesheets
- All users can access their timesheets via the user dropdown.
- Users with elevated permissions (such as payroll personnel) can also access timesheets in the Reports section of the admin tab.
Employee & Date Range Selection
In the upper-left, you'll select an employee's timesheet to view, plus a date range for that timesheet to span. You can select a specific pay period, or manually input start/end dates. If you haven't been awarded elevated permissions at your department, you will only be able to see your own timesheet.
- After making your selections, be sure to click the blue refresh button to update the timesheet itself.
- The selected employee and date range will be displayed in the timesheet header, including the employee's Payroll ID if your department has configured one for them.
Timesheet Categories
The first category will always be Regular Hours, the last category will always be Totals. The categories sandwiched between will vary by department, but they all follow a standard layout and should look familiar.
Regular Hours
- Totals all hours types that do not fall within any other category, unless otherwise indicated by an asterisk '*'.
Total Worked Hours
- Totals all hour types, excluding time off.
Total Accounted Hours
- Totals all hour types, including time off.
Shift Notes & Custom Forms
If a shift has shift notes and/or custom form responses, they can be viewed by hovering your cursor over the shift in question on the timesheet.
Timesheet Settings
This timesheet settings menu contains quality of life settings that can be toggled on-the-fly to further customize your timesheet. These settings affect only your view of the timesheet, and your selections are remembered after navigating away from the timesheet. These settings can operate independently, or in concert with each other. If you decide to export the timesheet, your preferences will be respected in that export as well.
Hide Empty Rows
- Hides all rows from the timesheet that have no hours in them for the selected date range.
Category Subtotals
- Displays a grey subtotal row for each category on the timesheet.
Label Regular Days Off
- Applies a distinct "RDO" badge to any regular days off for the selected date range.
- Note, if a user's RDO is awarded a shift of any sort (Overtime, Time Off, etc.), it will no longer be classified as an RDO.
Exports
All users can export their own timesheet to PDF or Excel. Users with elevated permissions (such as payroll personnel) can export individual timesheets or multiple users at once, into various PDF or Excel formats.
Timetable
The Timetable can be accessed via the toggle at the top-right of the Timesheet. The Timetable is a table layout of an employee's hours, like Excel. Each hour type is split into its own column, and each date receives its own row. Totals for each column are listed at the bottom of the table. This report is meant to be fairly simple, offering another perspective on basically the same info as the timesheet, just more geared towards specific hour totals, rather than individual dates or broad payroll categories.
Timesheet Portals & Signatures
If your department enabled digital signatures on timesheets, up to two additional fields (Employee Signature, Supervisor Signature) will appear in the timesheet header depending on your department's configuration:
These signature fields are interactive, acting as portals into a collection of relevant features. To learn more, just click one of the signature fields. The portal that appears offers three tabs:
Portal Tab 1 - Sign
- This is where you can formally acknowledge the accuracy of your timesheet, input your full name for accountability purposes, and ultimately sign your timesheet. You can scribble your signature manually with your mouse/trackpad, or you can Auto-Sign, which uses your Full Name to input a pre-made signature on your behalf. Either way, the signature will not be submitted until you click the 'Sign Timesheet' button. Supervisor signatures operate in the same fashion.
Portal Tab 2 - Flag
- Here you can flag issues with a timesheet using custom messages. When a timesheet is flagged (via employee or supervisor), a yellow warning icon will appear alongside the signature fields on the timesheet. Clicking the icon will reveal the flag message, which is also recorded in the portal's History tab. A flag will remain active until the flag author signs the timesheet.
- Employee and Supervisor flags are tracked separately. So if both the employee and supervisor have active flags on the timesheet, the flag icon will only disappear after both have signed the timesheet.
- Employees can add as many flags as they like, but once the employee signature is input, employee flags can no longer be added to that timesheet. Similarly, supervisors can add as many flags as they like, but once the supervisor signature is input, supervisor flags can no longer be added to that timesheet. Please be sure to input, and subsequently handle, all flags prior to signing off on a timesheet.
Portal Tab 3 - History
- Logs all signatures and flags that have been input for this timesheet, listed in chronological order.
Signature Status
The employee and supervisor signature fields each display their status as follows:
- Red - Unsigned
- Green - Signed
- Pencil Icon - Signable or Re-Signable
- Lock Icon - Not Signable
There are currently two scenarios in which a signature field will be locked. Clicking the lock tells you the reason:
- Employee clicked the supervisor signature field by mistake, or vice-versa.
- The signature window (configured by your department) has already passed.
