Pace Scheduler offers a feature called Shadowing, which enables the assignment of a trainee to follow the schedule of a designated trainer. When utilizing Shadowing, you select a specific date range during which the trainee's schedule will align with that of the trainer. By assigning a shadow to the trainee's schedule, it will mirror the exact shifts and timing of the trainer, as if manually adjusted.

 

One notable advantage of utilizing Shadowing is its dynamic nature. Any modifications made to the trainer's schedule, such as assigning them to a new beat or modifying an existing beat, will automatically reflect in the trainee's schedule as well. This ensures that the trainee's schedule remains in sync with the trainer's, facilitating a seamless and efficient training experience.

 

Please be aware that supervisors require the appropriate permissions to access and utilize the Shadowing feature. To grant them the necessary View/Edit Employee permission, you can navigate to Admin tab -> Employee section -> Employee Permission.  Assign them the View/Edit Employee permission. 

 

By leveraging the Shadowing feature, you can streamline the process of assigning trainees to trainers' schedules, promoting effective training and optimizing scheduling management within your organization.

 


Assigning the date range from the Calendar tab

To assign a date range for Shadowing from the Calendar tab, please follow these steps:

 

1. Right-click on the trainee and select "Shadow Assignments."
2. Complete the form by specifying the desired date range for the Shadow.
3. Save the changes, and you will observe that the trainee's schedule aligns with that of the trainer.

Please note that Shadowing does not result in the trainee inheriting any Overtime shifts or assigned Time Off from the trainer.

 

To view or remove any existing Shadow Assignments, right-click on the person once again and access the shadow assignments from the provided options.

 

 

Please take note that removing a Shadow Assignment will not result in the deletion of the trainee's assigned shifts. It will solely remove the synchronization between the trainee's schedule and any updates made to the trainer's schedule. If you need to delete the trainee's shifts that have already been assigned, you can follow these steps:

 

1. Right-click on one of the trainee's shifts.
2. Select "Remove Shifts From This Day Onward."
3. Choose the specific shifts you wish to remove.

 

By following these steps, you can effectively remove the desired shifts from the trainee's schedule.

 


Assigning the date range from the Assignments tab

 

Additionally, you have the option to assign shadows from the Assignments Tab. Once the Assignments (referred to as Beats, Areas, Posts, Zones, Sectors, or any other term used by your department) have been assigned to the trainer, follow these steps:

 

1. Click on one of the trainer's assignments from the Assignments Tab.
2. Select the trainee who will be shadowing the trainer.
3. Specify the desired date range for the shadowing period.
4. Once the details are set, the functionality will mirror that of setting a Shadow from the Calendar Tab.

However, please note that if you need to remove Shadow assignments, it is recommended to follow the process outlined earlier from the Calendar tab, as described above.
