Legend and Edit Look & Feel Tutorial

The legend automatically adds items (shifts, overtimes, special assignments, etc.) as they are created via the Admin menu in the system.  All of the items located in your legend can be customized to look however you would like. You can change these at any time, as long as you have permission to do so.  Please contact one of your department Administrators if you need these permissions granted.

WARNING: Making changes to how items look will change the look for everyone in your department, not just for you.

The legend lists all of items that are tracked on your schedule.  In the top right of the legend are the following options:

  1. – The “Search Legend” box will allow you to search for specific legend items.  Ex. If you type “On Call” in the box, it will pull up any items related to On Call such as On Call Shift and Partial On Call Shift.

  1. – The “Hide Legend” button will hide the legend. Once hidden, the text in the button will change to “Show Legend”. When pressed, it will bring back the legend at the bottom.

  1. – The “Edit Look & Feel button will take you to a separate page where you can modify how different items look.  There are tabs at the top, so you can quickly choose the correct category for the item you are looking to edit.

Another way to change the look of specific items quickly is to right click on the item you are looking to edit in the legend.  This will pop up a box where you can change how this item looks and save it.  If you change your mind, you can also click “Cancel”, and nothing will be changed:

To edit an item, follow these steps:

  1. - Choose one of the following options from the “Decoration Type” drop down
    1. Background – This lets you pick a background color for the item with no text.
    2. Text – This lets you choose text for the item on a white background
    3. Background & Text – Allows you to customize an item with text, as well as a background color.
    4. Corner Charm – This will allow you to show a specific legend item with a corner charm.  Once you choose this option, you will get to choose which corner is highlighted, as well as the color.
    5. Border – This will allow you to choose a colored border of the legend item.
  2. This will allow you to choose a color for the item you chose in step 1 where applicable.
  3. The “Text shown in Grid Cell” box allows you to type text to display inside the item box where applicable.
  4. The “Keyboard Shortcut” allows you to choose what to type on the schedule to add this item.  Ex. You can choose “D” as the day shift keyboard shortcut, and anytime you type a “D” in the box, it will add a day shift to the schedule.

Once you click save after choosing your options, you will need to click the “Reload calendar to view new look” button.  Otherwise, you simply refresh the page.

Note: Changing an item’s look will change it from the current calendar period forward, but previous schedules will reflect the old color.  Make sure you select the correct calendar period where you would like this change to begin.

Ex. If you change an item color from the September 2022 schedule, then it will show the color change for the item from September forward.  Any previous schedules will show the old color.  If you want to change the color on all your previous schedules, you would need to go back to the very first calendar period you came aboard Pace Scheduler, and then make the change from that specific month/year.

Note: When you right click on an item, you will also have a check box if you would like to “Hide this legend item”.  This stops it from being shown on the legend.

If you hide specific legend items, you can still access them by clicking the blue “Show hidden legend items” button in the bottom left of the legend.

When the button is clicked, it will expand the hidden items menu, so you can see which items are hidden.  You can click the button again to hide this menu.

If you want to unhide any items in the hidden legend items menu, just right click on them, and uncheck “Hide this legend item”
