Simplified Staffing Totals replace raw staffing numbers with pass/fail indicators on the Grid. Instead of interpreting minimum-staffing calculations or decimals, the Grid displays a clear check mark (✓) when staffing meets requirements and an X when it does not. This makes it faster to confirm whether your coverage levels are sufficient at a glance.
This setting affects the Staffing Totals row beneath your schedule on the Grid—shown at the bottom of each day in the Grid view.

Prerequisites

Minimum Staffing rules already configured for your site (optional but recommended)
Before you begin

Know that by changing this setting will affect the way staffing appears globally within your Pace Scheduler site.

Understand that enabling this feature does not change your actual staffing calculations—only how they are visually displayed.

You can always right-click a staffing cell to view the full hourly breakdown, even when simplified.
Steps
1. Go to the Simplify Staffing Totals setting

Open Admin Panel from the top navigation.

Select Site Settings from the right-hand menu.

Using the search field type "Simplify Staffing Totals."

2. Enable or disable the simplified view

Turn the Simplify Staffing Totals toggle on to switch from raw numbers to ✓/X indicators.

Turn the toggle off to return to the standard numerical staffing summaries.

Click Save at the bottom of the page.
3. Review the results on the Grid

Navigate to the Grid.

When the setting is off, you will see numeric staffing totals (e.g., +1, -2, 0), which show how many positions you are above or below the requirement.

When the setting is on, you will see simplified pass/fail icons:

✓ = staffing meets or exceeds requirements

X = staffing is below requirements

Confirm it worked

The Staffing Totals row at the bottom of each day should now show ✓ and X indicators instead of numbers.

Right-clicking a staffing cell still opens the detailed numerical breakdown—this does not change when Simplified Staffing Totals is enabled.
Troubleshooting
"I don’t see ✓ or X indicators—why?"

Ensure you enabled the toggle under Admin Panel > Site Settings.

Confirm that staffing minimums are configured. Without minimum staffing rules, the system has nothing to compare against.
"Supervisors can see ✓/X but can’t change the setting."

Only Administrators can modify site settings.
"Why is a day showing X even though it looks fully staffed?"

Right-click the staffing cell to see the detailed hourly calculation. Staffing shortages may occur during only part of the shift.

Does enabling Simplified Staffing Totals change how staffing is calculated?
No. It only changes what you see on the Grid. All underlying calculations remain the same.
Can I still see the exact numbers?
Yes. Right-click any staffing cell to view the detailed numeric breakdown.
Does this affect reporting?
No. Reports always use full staffing numbers.
Will this change what employees see?
Supervisors may see simplified totals, but Basic Users do not have access to staffing totals regardless of this setting.
